About the Client: The client is a dynamic and expert real estate brokerage based in the Fort Lauderdale, Florida area, dedicated to making the real estate process "Real Simple" for its diverse clientele.The firm specializes in representing Sellers, Buyers, and Investors, offering comprehensive services that span marketing, canvassing, and property management. We believe that while real estate transactions can be complicated and stressful, the experience of our clients should not be.
About the Role: We are seeking a highly organized, detail-oriented, and proactive professional to join our real estate brokerage team. This multifaceted role combines transaction coordination, property management assistance, and compliance oversight to ensure smooth operations, regulatory accuracy, and exceptional client service. The ideal candidate will thrive in a fast-paced environment, balance multiple priorities, and support both the sales and property management divisions of the brokerage.
Key Responsibilities
Transaction Coordination
- Manage all aspects of real estate transactions from contract to close.
- Communicate with agents, clients, escrow officers, lenders, and other parties to ensure timely completion of all required tasks and documentation.
- Track key transaction milestones (inspection periods, contingencies, closing dates, etc.).
- Prepare and distribute disclosures, addenda, and other legal documents.
- Maintain organized and compliant transaction files (digital).
- Ensure all brokerage, MLS, and state compliance requirements are met prior to closing.
- Review transaction files to ensure compliance with brokerage policies, local, state, and federal regulations.
- Maintain internal compliance checklists and reporting systems.
- Assist with agent onboarding, license renewals, and training coordination.
- Audit internal systems for documentation accuracy and completeness.
- Support brokerage leadership with special projects, data reporting, and operational improvements.
- Industry Experience: Ideally 2-3 years of experience in the real estate / brokerage operations required. Less experience is acceptable for the right candidate who demonstrates high integrity and strong potential.
- Geographic Knowledge: Preference for candidates with working knowledge or experience doing business in the State of Florida real estate market.
- Language: Spanish proficiency is a plus, especially for candidates based in Latin America
- Client-Focused Mindset: Dedicated to providing exceptional support and service.
- Proactive & Self-Motivated: Takes initiative to anticipate needs and complete tasks without constant supervision.
- Collaborative Team Partner: Willing to work closely with the business owner and other team members.
- High Integrity: Demonstrates honesty and strong moral principles in all professional dealings.
- Proficiency in DocuSign and Transaction Desk.(Must-Have)
- Knowledge of MLS Exchange. (Must-Have)
- Familiarity with DoorLoop is a plus, but training is available.(Preferred/Trainable)
