Role Purpose
The Training Assistant plays a key role in ensuring the smooth coordination of events, accurate cost tracking, and efficient supplier and logistics management. This role is focused on operational execution and administrative support for training and logistics activities within an automotive client across Colombia, Peru, and Ecuador.
This is a hands-on, detail-oriented role, ideal for someone who excels in execution, organization, and supporting day-to-day operational delivery.
Working Scheme: remote (will attend in-person meetings only when required)
Contract: Indefinite period

Role Purpose
The Training Assistant plays a key role in ensuring the smooth coordination of events, accurate cost tracking, and efficient supplier and logistics management. This role is focused on operational execution and administrative support for training and logistics activities within an automotive client across Colombia, Peru, and Ecuador.
This is a hands-on, detail-oriented role, ideal for someone who excels in execution, organization, and supporting day-to-day operational delivery.

Key Accountabilities
- Support the execution and follow-up of brand events and training sessions across multiple countries
- Assist in planning and coordinating training schedules alongside the Training Administrator
- Provide on-site and remote support for events, including low-demand sessions and special activities
- Ensure proper logistics and execution of in-person events for seamless delivery
- Handle travel arrangements, including flight bookings and accommodation for events
- Coordinate instructor per diems (viáticos), especially for Ecuador, and track cash advances across countries
- Support the Project Coordinator in updating planning changes prior to submission to the client
- Ensure all logistical components are aligned and delivered on time
- Assist in budget preparation for events and monitor execution against planned costs
- Track and manage feeding costs (FEE adjustments) related to in-person training sessions by country
- Maintain and update the Master File with cost tracking, invoicing data, and expense records
- Record credit card expenses, transportation (Uber), and other operational costs accurately
- Validate billing information for client charging, including fees, overtime, logistics, and freelancer costs
- Support the issuance of entry sheets in coordination with the Project Manager and track invoice submission
- Assist in onboarding new suppliers by collecting required documentation
- Source, confirm, and follow up on supplier payments
- Prepare cost reports and summaries for events
- Identify opportunities to improve operational efficiency and support GP Strategies.
- Ensure data accuracy and organization across all tracking files and documentation
Experience & Capability
- Previous experience in administrative, logistics, or training support roles
- High School Diploma in related areas
- Experience supporting operations in multinational or multi-country environments is a plus
- Proficiency in Microsoft Office tools
- Intermediate to advanced Excel skills (data tracking, reporting, basic analysis)
- Experience managing data files and administrative records
- Strong interpersonal skills to interact with clients and dealer network stakeholders
- Ability to work under pressure and manage multiple priorities
- Fast learner with adaptability and openness to change
- Clear and assertive communication skills
- Strong attention to detail and organizational capability
- Analytical mindset with problem-solving skills
- High level of commitment and accountability
- Proactive attitude with continuous improvement mindset
- English and/or Portuguese proficiency will be considered a plus
